If your questions are not addressed on this page or in the Tutorial Section, feel free to call us. Please read before calling, as most questions are answered very easily within.

The most common question: "I am not able to print anything" or "My screen is blank after my search."

On your first visit to Profiles Graduating Physician Database, you may be asked to download "Crystal Software" click agree and it will automatically download this software that is included with Profiles. Before you will be able to print or preview printed material, you must download Crystal Reports Software. When you try to print your first report, this software will attempt to download. This may take several minutes. If there is a small object icon in the window, then crystal is still loading. Please be patient. If the icon is a red X, you most likely do not have permission to install this program on the PC. Please check with your IT department to verify security permissions. Once Crystal Reports has downloaded, the computer will prompt you to install. Simply agree and your report will promptly be displayed.

The second most common issue is Pop Up Blockers:

Turn off any Pop Up Blocker or allow pop ups from our site. All Profiles info will come as pop ups. Profiles will not operate properly with your pop up blocker on. If you have downloaded Google, Yahoo, or any other toolbar from Internet Explorer, it probably came with an additional pop up blocker. You may have multiple Pop Up Blocker Utilities. Please check for these before calling for support.

How do I locate a sub-fellow training like EP Cardiology or Body Image Radiology?

Choose your specialty. In the right-hand column, halfway down, there is a Fellowship Section. Click the drop down and find the sub-specialty area you are looking for and then hit search. These candidates have told us they have a sub-specialty interest or intend to go on to do this Fellowship.

I lost my login name and password.

First look through your records, as we print the login name and password on your invoice.

Will all the recipients of my e-mail see each others' addresses?

Not if you enter all e-mail addresses in the BCC category of your e-mail letter. If you don't see a BCC category in your letter, check with your e-mail program, as it is merely a click away (BCC means blind carbon copy). Address your e-mail from yourself to yourself and BCC all the e-mail recipients thereby keeping all your candidates private. Recipients will see only yours and their addresses.

Can I let a friend use my login name and password if I'm not using it?

Absolutely not. This is in direct violation of our rules and you can be disconnected without any recourse. Our database is monitored daily, and we will question any unusual usage or different IP addresses. Play it safe and call us first with questions regarding this issue.

My database won't let me bring up any CVs or mailing labels?

Profiles uses Crystal Reports software, and it is included with your system. When you first log on and choose a printing function, a prompt should come up asking you to download Crystal Reports. Simply say yes and everything will work. If you do not load the software, you will not be able to view or print documents from Profiles.

How many times can I use this system within the year?

You have unlimited usage and unlimited hiring potential.

What if I find a candidate where the info is not correct or up to date?

On the front page of the Profiles Database there is a button called "Update Request". Click on this and it will send an e-mail to our quality control department. The candidate will be updated usually with 48 hours.

What size labels do I need to print labels from Profiles or Generations?

Size of label is 1" x 2 5/8" with 30 per page. We set up for usage of the Avery 5160 laser labels; however, any brand will work as long as it is the same size and 30 per page.

I cant's see all of the states listed in the regions?

The number of candidates in my search does not match the number listed for the specialty.

We add all graduate names within each individual class. You can pull the entire class by simply choosing the specialty and then clicking "unprofiled". You will get all graduates. The names that are highlighted are candidates we have profiled to date. The lighter color candidate names are either headed to fellowships, military, J1, etc., or have not yet been spoken with by our sourcers. Unprofiled candidates will have only name, gender and complete program information.

The database seems to not be working right for whatever reason.

Restart your computer. Log on to the database again. This should fix the issue.

Can I add my own physician records in the database?

No, you can add notes on the Follow Up tab and click the save button. You won't be able to add any additional candidates to the system. Whatever additional info you add to the existing records will only be viewable by you with your password.

How do I do an "all ties to an area" search?

In the left-hand column there is an All Ties State Search button. Click the drop down and choose the state you are looking for ties to. The system will pull out candidates who have that state listed anywhere in their information. This is helpful if the candidate didn't list that state in the top four geographic preference areas but lets you know they have some tie to the state. This is also a good way to search the UnProfiled candidates.

Where do we get our information for these physicians?

Our own professional sourcing personnel contact them directly, and all information obtained has come from the physician candidates themselves via the telephone.

What is the best way to contact these candidates?

We have various ways to communicate: E–mail them, page them, write them a letter or, what we like best, simply calling them directly.

What if a physician says he is interested in MO and he takes a job in TX?

Never underestimate the power of a good recruiter and a good opportunity. The worst that could be said is "sorry not interested." Try it, you could get lucky! These candidates are not presented with any actual opportunity when we speak to them; and therefore, their preferences may be limited. If you feel it could be a good match anyway, the candidates are just a phone call away.

What if I have a physician that asked me to stop e-mailing them?

At the bottom of the physician's page, there is a box you can click that says "do not e-mail". Click on this box, and be sure to hit the save button. This will ensure that when pulling e-mail addresses, this one will not come up for you.

What are the population numbers associated with rural, small to medium, medium to large, etc.?
